Stop Apologizing: How to Sound Confident in English Meetings

The “Sorry” Trap

Imagine this: You are an expert in your field. You have years of experience, a degree, and brilliant ideas. You walk into a meeting with international stakeholders, and the first thing you say is:

“Hi everyone. Before I start, I am sorry for my English.”

In that split second, you have shifted the focus from your expertise to your insecurities.

As an English coach for professionals in Germany, I hear this phrase almost every day. It acts as a shield—a way to lower expectations in case you make a grammar mistake. But in the corporate world, it signals a lack of confidence.

Here is the truth: Your colleagues don’t care about your grammar. They care about your value.

Why Fluency ≠ Perfection

Professional fluency isn’t about knowing every word in the Oxford dictionary. It’s about efficiency and clarity. If you can explain a complex technical problem to a client and they understand it, you are fluent. Period.

When you apologize, you prime the listener to look for mistakes. When you speak with authority, they focus on your message.

3 Power Phrases to Replace “Sorry”

Next time you feel stuck or make a mistake, don’t apologize. Use these “repair strategies” instead:

1. When you forget a word

Don’t say: “Sorry, I don’t know the word.”Say: “The word escapes me for a moment, but what I mean is…” (and then describe it).

2. When you don’t understand a question

Don’t say: “Sorry, my English is bad, can you repeat?”Say: “I want to make sure I fully understood your point. Could you rephrase that?“

3. When you need time to think

Don’t say: “Uhh… sorry…”Say: “That is an interesting point. Let me take a moment to consider that.”

The Mindset Shift

Your goal is not to sound like a native speaker; your goal is to be an effective communicator. Native speakers make mistakes too! The difference is, they don’t apologize for them—they keep going.
